Privacy Policy

EFFECTIVE 10 May 2026

Provident Estate Services Ltd. (“Provident”, “we”, “our”, or “us”) respects your privacy and is committed to safeguarding the personal information you share with us. This Privacy Policy describes how we collect, use, and protect personal information in connection with our membership-based estate concierge service for the Cayman Islands, including our website at providentcayman.com, our member portal, and our iOS and Android mobile applications (collectively, the “Service”).

1. Information we collect

Information you provide

  • Application details: full name, email address, phone number, and country of residence.
  • Account credentials: a password (stored as a one-way hash, never as plain text) when you sign up with email and password, or your verified email and profile name when you sign in with Google or Apple.
  • Membership details: vehicle information (year, make, model, trim, colour, plate, VIN, fuel preferences, tyre data, location), primary residence, preferred contact methods, emergency contact, service preferences, and standing notes.
  • Communications: messages you send to your concierge through our message thread or to our support email.

Information collected automatically

  • Technical data: IP address, browser type, device type, language preferences.
  • Usage data: pages visited, features used, links clicked.
  • Cookies: session cookies set by our authentication provider to keep you signed in.

Mobile application

When you use our iOS or Android mobile application we may also collect or process the following, only when you grant the relevant permission:

  • Photos and images you choose to attach to messages or visit logs, accessed through your device’s photo library or camera.
  • A push-notification token issued by Apple or Google so we can send you concierge updates and request notifications. You can disable push notifications at any time from your device settings.
  • Anonymised crash and diagnostic information generated by the app, if you have not disabled diagnostic sharing in your device settings.

We do not collect your precise location, contacts, calendars, health data, or advertising identifiers, and we do not track you across other apps or websites.

We do not collect payment information directly through the Service. Membership fees are arranged separately by your concierge.

2. How we use your information

  • To deliver and maintain the Provident service.
  • To communicate with you about your application, proposal, enrollment, and ongoing service.
  • To send transactional emails such as your proposal confirmation and welcome message.
  • To improve our service through anonymous, aggregated analytics.
  • To comply with our legal and regulatory obligations under Cayman Islands law.

3. Service providers

We share information only with the trusted service providers we use to operate the Service. We never sell your personal information. Our processors include:

  • Supabase, Inc. — database hosting and authentication; data stored in the European Union.
  • Resend, Inc. — transactional email delivery; data stored in the European Union.
  • Functional Software, Inc. (Sentry) — application error and crash reporting; data stored in the European Union.
  • Google LLC — OAuth sign-in, only when you choose Google sign-in; mobile push notifications via Firebase Cloud Messaging on Android (United States).
  • Apple Inc. — Sign in with Apple, only when you choose Apple sign-in; mobile push notifications via the Apple Push Notification service on iOS (United States).
  • Vercel, Inc. — application hosting and anonymous analytics (United States).

Each provider is bound by their own data processing agreement. We do not share information with third parties for advertising or marketing purposes.

4. International transfers

Your information is transferred outside the Cayman Islands and stored primarily in the European Union by our database, email, and error-monitoring providers. A limited subset of information — OAuth sign-in data and push-notification tokens — is processed in the United States by Apple and Google. Our application is hosted in the United States by Vercel, which handles the network requests for these flows but is not itself the OAuth or push-notification provider. We rely on each processor’s standard contractual commitments and security measures to protect this data.

5. How long we keep your information

We retain your personal information for as long as your membership is active and for a reasonable period afterwards to comply with legal, accounting, and audit obligations. You may request earlier deletion at any time as described in “Your rights” below.

6. Your rights

You have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your information, subject to our legal obligations.
  • Withdraw consent or close your account.
  • Lodge a complaint with the Cayman Islands Ombudsman or the relevant data-protection authority.

You may delete your account and the personal information associated with it at any time from within the mobile application (Settings → Delete my account) or by emailing us at the address below. To exercise any other rights, contact your concierge or email hello@providentcayman.com. We will respond within 30 days. After deletion we may retain a minimal record of the request and any information we are required to keep for legal, accounting, or audit purposes.

7. Children

Provident is intended for adult members. We do not knowingly collect information from anyone under 18.

8. Cookies

We use a small number of strictly necessary cookies to keep you signed in and to remember your session preferences. We do not use advertising or third-party tracking cookies.

9. Security

We use industry-standard measures including encrypted connections, hashed passwords, and access controls to protect your information. No system is perfectly secure; we ask you to choose a strong password and keep it confidential.

10. Changes to this policy

We may update this Privacy Policy from time to time. The effective date above will reflect any changes. We will notify members of material changes by email.
